Contacts: Companies

Overview

Companies are at the centre of the CIMS contact database. Each company can have a set of company attributes such as address, phone numbers, faxes, emails and can have as many Contacts or people attached as required. For example small companies may have only one person whilst larger companies many have 30 or 40. Each individual contact has their own set of attributes in addition to those of the company.

In CIMS company attributes include:

 

Creating A Company

To create a company do the following:

1. From the main ring menu select "View Listings"

2. Select "Companies"

3. Make sure the company does not already exist by entering the name in the "Filter by Name" or "Filter by Tag" or both

4. If the company does not exist select the "Create New Company" button

5. Enter the name of the new company name

6. Select one or more company Tags

7. If the Tag does not exist enter the new ones in the "Create New Tags" field and click the Add button

8. To enter the company address, select "Address" from type, then type the address in "Value (including carriage returns" and add an optional comment in the "comment" field

9. To save the address select the "Save Company Details" button

 

Adding A Company Address

Each Company can have one address and one one country.

To enter a company's country

1. Select "Country" from the Type column

2. Enter the Country in the value field

3. Add an options comment if required

4. Select the "Save Company Details" to save the changes

 

Adding Company Attributes

To enter any of other company attributes including

or any other, do the following:

1. Select the type from the Type column

2. Enter the value in the value column

3. Enter the optional comments in the comment column (for example 2nd Mobile Number

4. Select the Save Company Details

 

Editing A Company

To edit a company do the following

1. From the main ring menu select the "View Listings" option

2. Select "Companies"

3. Find the company to be edited using the appropriate filters

4. Select the attribute to edited

5. If required to do so (all attributes except the name) select the edit button

6. Make the required changes

7. Select the "Save Company Details" button to make changes

 

Deleting Company Attributes

To delete or remove a company attribute do the following:

1. From the main ring menu select the "View Listings" option

2. Select "Companies"

3. Find the company to be edited using the appropriate filters

4. Select the attribute to edited

5. Place a check in the delete box adjacent to the appropriate attribute

6. Select the "Save Company Details" button

 

Deleting A Company

Companies that are not linked to "Clients" can be deleted. Such companies will have a "delete button" displayed at the bottom of the screen. Deleing companies cannot be undone and so should be done with caution

To delete a company do the following:

1. 1. From the main ring menu select the "View Listings" option

2. Select "Companies"

3. Find the company to be delete using the appropriate filter

4. If the delete button is present, select it

5. Select the "Save Company Details" button to save the changes
